Things for a Facilities Manager to consider when purchasing a water cooler

With so many features and options available and with the various different companies, it can be difficult to work out which water cooler solution would best suit your situation and what company to go with.

Why should I choose a plumbed-in water cooler?

Plumbed–in water coolers (also known as point-of-use or mains-fed water coolers), filter and chill your mains water. Unlike bottled watercoolers, there is no running out as the water is constantly available thus doing away with the need to buy, store, chill and dispose of large quantities of plastic bottles, which predominately go to landfill and can take over 700 years to decompose. Plumbed–in water coolers also have a lower carbon footprint, as there is no need for the continuous deliveries and road miles required with bottled water.

Do I need hot water as well as a cold or a hot water boiler?

Some water coolers come with the option of a hot water. This makes them ideal for hot beverages such as tea and coffee and great as they are incorporated into one unit. Hot water boilers might also be an option to consider if you have a lot of people requiring hot water at the same time. What if i'm buying for multiple sites?

We reccomend that you gather a list of all the sites that you are considering a watercooler for and highlight if they already have a watercooler that needs replacing or where the new watercooler would be placed. This information will be useful to gather an understanding of how many watercoolers you need at each site and where they will be located. PHS Waterlogic's National Account Team however have the expertise to carry out a site survey at multiple locations and will be able to advise how many watercoolers will be required, the type of watercooler suitable and where these are best placed.

Should I choose a water cooler from the Waterlogic range or the Watermarques range?

You need to consider the volume of water you require for your location. If you have a large office or intend to fill large bottles with water for the conference or boardroom, then a Watermarques water cooler might be the best option as these have been specifically designed for the high volume water consumption. However, if it's adhoc use by staff or visitors then a watercooler from the Waterlogic range will probably be more suitable

What's the difference between buying and renting?

Initially buying a water cooler or boiler can appear to work out as the cheaper option, and for some companies it might be the right choice, however the servicing and repairs can be difficult as you will either need to do this yourself or take out the maintenance package. Renting a watercooler is often the better option and the most popular choice with Facilities Managers, as you will have the watercooler/boiler of your choice and the peace of mind that it is being maintained and serviced on a regular basis. Our Totalcare™ service package (renting) offers the convenience of an all-inclusive service and will include the delivery, installation and twice yearly preventative servicing of the watercooler or boiler*, including all parts and labour costs.

Should I consolidate or separate my invoices?

If you are the buyer for multiple or all locations then it's probably advisable that you consolidate your invoices into one or at least have all these addressed to you so that you can keep track and budget. However, if you negotiate a set price for all sites but it is down to someone at each location to purchase then it's probably easier for the invoices to go to each site. We are always happy to advise on what is the most suitable solution. 

Should I choose electronic invoicing?

EDI (Electronic Data Exchange) is probably the best method of invoicing for larger customers. The delivery is fast and is usually next day, which means you have more time to deal with the invoices. EDI invoices also reduce the number of invoice queries and copies sent, which in turn, increases efficiency for both parties. PHS Waterlogic currently uses EDI as an automated transmission method for invoicing our larger customers.

Why should I choose a company compliant to the WEEE Directive?

The WEEE Directive came into effect in August 2005 and states that all companies that produce/import or are operators of, electrical or electronic equipment (anything with a plug really) are legally responsible to dispose of this at the end of it's life in a environmentally responsible manor.

Therefore, whichever watercooler or boiler you chose you will also need to ensure that the company is compliant to the WEEE Directive.
